In vTiger CRM, it is possible to automate processing of emails depending on their contents. For example, email containing specific wording can be converted into a trouble ticket for support representative to handle. Automatic lookup can be set to link emails with account or contact.

Accounts represent a group of people, an organization, or a company with which your organization interacts.
Contacts are used to represent people. These can be customers, employees of accounts, or any other person. Contacts can be linked with Accounts (companies or organizations).

Accounts and contacts can be shared and are available in uniform way in Marketing, Sales and Support application areas.

Accounts represent a group of people, an organization, or a company with which your organization interacts.

1. Access accounts from Marketing, Sales or Support application areas.


2. The Account list appears. You can use filters (Filters field on upper right side), create new Accounts, mass edit or delete from this page.
Note: After opening any account card, you can navigate the accounts by using vTiger Navigation facility.

3. Click the Plus sign to create a new Account.


4. Blank Account form appears.


5. Fill out the details. If the Account belongs to another Account (for example, parent company), specify it by clicking "Member of" Plus sign and choosing the organization from Account list. This action will populate some of the fields on this Account card (check the Address). If you have filled Shipping (or Billing address), it can be automatically copied also as Billing address (or vice verse) if you check "Copy Billing Address". Fill out the rest of relevant fields and click Save.


6. Once you save the Account, as a general rule, vTiger CRM adds more fields for you on the Account card. These are editable if you move the cursor to the field and click Edit (appears upon the cursor is located on the field).
Upon Save action, the More Info tab will move on the same page depending on your Default Module View Setting.


7. From the Account card you can view or create the following items related to this account (click More Information tab or scroll to the bottom in case of single page view setting):
Contacts
Potentials
Quotes
Sales Order
Invoice
Activities
Email
Activity History
Documents
Trouble Tickets
Products
Service Contracts
Services

8. To send an email, add event, to do or add a note, use Actions Menu.

9. Use Duplicate option to make a copy of the current Account for creation of a new record.
 

DOCUMENT & FILE MANAGEMENT: Manage Folders Online Better Than with Windows

Vtiger CRM system offers more than just a CRM functionality. You can also use it as online team collaboration tool and file management system with easy Web access.

This section describes the folder management functionality in vTiger CRM Document administration. For example, it is convenient to put all sales proposals in the same folder or all product photos in one folder.

1. When in Documents application area, click Add Folder.

2. Blank folder creation form appears.

3. Type Folder Name and Description and click Save.

4. After saving the folder, the document list still does not list it in the view. Instead a new option View Empty Folders will appear (if this is the first empty folder created).
This is because folders are included in the documents view only after it has at least one file in it.


5. If you click on View Empty Folders btn., the list of empty folders appears. You can delete it by clicking Trash bin icon.

6. To move a documents (files) to another folder, select the document you want to move and click Move btn. In this example, we will move Product Booklet with its file to the Proposals folder.

7. Dialog box with "Move To" folder list appears. Select the folder to move the file (s) and click OK on the confirmation which will follow.

8. As a result, the Document view has changed to display the new folder and its contents.

 

TIPS&TRICKS: Convenient Emailing Directly from Customer Records

Once the Email Configuration is completed in vTiger CRM, it is easy to send individual or bulk email messages to contacts, accounts, leads and vendors directly from their records in the CRM system. The sent messages are then saved in the CRM history and also your email system.
Note: Email sending from Webmail module is covered in a separate article.

1. In Contacts, Accounts, Leads or Vendors list select one or more records and click Send Mail btn.

Alternatively, to send email from already open contact, account, lead or vendor card, click Send Mail on the Action Menu (upper-right side of the card).


As a result, a dialog form will appear for your confirmation. Click Select.

2. Blank Email form appears with addresses copied from the contacts, accounts, leads or vendors. Note, that if you wish to add new address in "To:" field, you need to click the lookup btn. to choose the entity type, then click the Plus sign and join the email records from there. It is impossible to add email address by typing it manually in "To:" field, but it is possible to use Cc and Bcc for this purpose.
In case you want to remove all email addresses, click eraser btn.


3. The rest of the steps are self-explaining for any user with basic email skills. You just need to type the message and you can format it if necessary (similar options like in Microsoft Office etc) and click Send. Additional useful feature in vTiger CRM is a convenient option to select previously prepared standard message template which can be automatically personalized to each individual recipient. 4. After the email is sent, it is accessible in the individual card of the contact, account, lead or vendor.
